1. Controller and scope
Convallaria S.r.l., Via Santa Elisabetta 8, 24121 Bergamo (BG), Italy, VAT IT04585850169, operates Saelia and is the controller for beta access requests. Questions and privacy requests may be sent to info@convallaria.it. This notice applies before a Saelia account is created and supplements the full Saelia Privacy Policy.
2. Data collected
When a person requests beta access, Saelia processes their name, email address, confirmation that they are at least 18, requested-notification status, the versions of the notices shown, request status, related invitation identifiers, IP address, user agent, and timestamps. No password, voice recording, text archive, Voice Identity profile, health data, or payment data is requested for the waiting list.
3. Purposes and legal bases
The data is used to record the person's request, review closed-beta capacity, prevent duplicate or abusive submissions, contact selected applicants, create a personal invitation, and demonstrate what information was shown. Managing a requested path toward a possible beta agreement is based on steps taken at the person's request before entering a contract. Proportionate security and abuse-prevention processing is based on Convallaria's legitimate interests. Records required by law are processed to comply with legal obligations. Waiting-list data is not used for advertising or unrelated marketing.
4. Selection and account creation
Joining the waiting list does not create an account, guarantee selection, reserve a specific position, or activate any Saelia processing feature. An authorized administrator may review the request and create a seven-day, single-use invitation for the submitted email. The invited person must then complete registration and accept the current account documents. The invitation email address cannot be changed during registration.
5. Notifications and recipients
The requester asks to be contacted at the submitted email if access becomes available or if operational information about the request is necessary. Saelia currently does not use an automated transactional-email provider for this workflow; authorized Convallaria staff share invitation links manually. Data is otherwise available only to personnel and hosting or security suppliers that need it to operate and protect the waiting list. If an email processor is introduced, the notice and processor records will be updated before automated delivery begins.
6. Retention
Pending requests are retained for up to 12 months from the latest request. Declined requests are removed after 30 days. Waiting-list records that have been invited or accepted are removed after 90 days because the invitation or account record then becomes authoritative. Associated waiting-list acknowledgment evidence follows the same operational retention unless a longer period is required to establish, exercise, or defend legal claims.
7. Required information and withdrawal
Name, email, adult confirmation, and acknowledgment of this notice are required to place a request on the waiting list. Without them Convallaria cannot manage the request. A requester may withdraw before receiving an account by contacting info@convallaria.it from the submitted address.
8. Rights and complaints
Subject to applicable law, requesters may seek access, rectification, erasure, restriction, portability, or object to processing. Identity verification may be required. They may also lodge a complaint with the competent supervisory authority, including the Garante per la protezione dei dati personali, Piazza Venezia 11, 00187 Rome, www.garanteprivacy.it.
9. Security, automation, and changes
Saelia applies access control, rate limiting, audit records, transport encryption, and restricted database access to waiting-list data. No solely automated decision produces legal or similarly significant effects: an administrator decides whether to issue an invitation. Material changes receive a new version and are shown before a new request is submitted.
